The opportunity
Greiner Bio-One had to admit that its incoming order processing workflow no longer works well. As order volumes grew, handling orders received via email, often as PDFs, became increasingly time-consuming and prone to errors.
To address this, the company aimed to streamline the entire workflow to reduce manual effort, while improving data accuracy and overall efficiency.
Our team suggested building an automated order processing system built on the Microsoft Power Platform. The solution relies on Microsoft Document Intelligence Studio to extract data from incoming PDF orders and transfer it to Microsoft Azure. From there, order data is uploaded to SAP to create orders directly in the ERP system.
To ensure accuracy, the system combines automation with human oversight. When the AI model falls below an 80% confidence threshold, orders are flagged for manual review before being finalized. This step ensures the optimal balance between efficiency and compliance.
Following a successful pilot in Germany, the solution is now being rolled out in approximately 20 other locations. This global deployment is set to significantly improve processing speed, reduce manual workload, and improve customer experience.
Future outlook
By leveraging Microsoft Power Platform and Azure, Greiner Bio-One has significantly improved operational efficiency while establishing a strong foundation for intelligent process automation.
The next phase is already underway. Greiner plans to extend the solution across additional business units, enabling Customer Service teams throughout the Group to benefit from automated order processing and further streamline operations at scale.
